Visa refusals cluster around a handful of repeatable errors — funds held for too short a period, mismatched names, and applications filed too late. Here is the full checklist.
A student visa is a documentary exercise. Officers are not assessing whether you will be a good student; they are checking whether your file proves three things: you have a genuine place on a course, you can pay for it, and you intend to comply with the conditions of the visa. Almost every refusal traces back to one of those three failing on paper.
The core document set
- Passport valid well beyond the course end date, with blank pages.
- Official admission letter or sponsorship reference from the institution.
- Proof of tuition payment or deposit, as required by the country.
- Proof of funds for living costs, held for the required period.
- Language test result accepted by both the university and the immigration authority.
- Academic transcripts and certificates, translated and certified.
- Tuberculosis or other medical screening where required.
- Health insurance or a health surcharge payment.
- Biometrics appointment confirmation.
- Passport photographs to exact specification.
- Scholarship award letter, if funded — this often replaces the funds requirement.
If you are still assembling funding, our scholarships category lists awards whose letters are accepted as proof of maintenance.
Proof of funds: the detail that fails most applications
Three rules cover most jurisdictions. First, the money must sit in an eligible account for a continuous minimum period; a lump sum deposited two days before the statement is the single most common refusal trigger. Second, the account holder must be you or a permitted sponsor, with a relationship document if it is a parent. Third, the statement must be dated within a short window before submission and show the bank’s name, your name, the account number and the currency clearly.
Blocked-account countries such as Germany have their own mechanism; confirm the current threshold with the official source rather than a blog, including ours. Always cross-check figures against the government page — for the UK that is GOV.UK’s student visa money requirements.
Build the timeline backwards
- 12 months out: shortlist courses, book the language test.
- 10 months out: submit university applications and scholarship applications together.
- 7 months out: accept an offer, pay any deposit, begin the funds-holding period.
- 5 months out: collect certified translations and medical screening.
- 4 months out: file the visa application and book biometrics.
- 2 months out: arrange accommodation and travel insurance.
- 4 weeks out: book flights only after the visa is issued.
Processing times move with intake volume. Filing at the earliest permitted date — usually three to six months before course start — is the cheapest insurance available.
Refusal reasons that repeat every intake
- Funds not held for the full continuous period.
- Name spelled differently across passport, transcripts and bank statement.
- Uncertified or machine translations.
- A study plan that does not connect to prior education or career history.
- Missing dependants’ documents when travelling with family.
- Interview answers inconsistent with the written application.
Where a credibility interview applies, treat it as a formal assessment: know your course modules, tuition figure, city, accommodation plan and why you chose that institution over one at home. The online interview checklist covers the delivery mechanics.
Working while studying
Most study visas permit limited term-time work with full-time hours during official vacation. Limits vary and change; confirm the current cap and whether it applies to self-employment and to remote work for a foreign employer. If you plan to work online, read our remote jobs guide for students alongside the visa conditions.
After approval
Check every field on the visa vignette or digital status the day it arrives: name spelling, course dates, work conditions and sponsor reference. Errors are corrected far more easily before travel. Carry originals of your admission letter, funds evidence and insurance in hand luggage — border officers can ask for them on arrival.
Frequently asked questions
Can I apply before I have an unconditional offer?
Generally no. The sponsorship reference from the institution is normally issued only after you accept an unconditional place.
Does a scholarship remove the proof of funds requirement?
It usually replaces it, provided the award letter states exactly what is covered and for how long.
How long does a decision take?
Commonly three to eight weeks, longer at peak intake. Check the authority’s current published processing time before booking anything.
